The problem
"I'd have to check.""Let me get back to you.""It's in a text somewhere."

If you own a small operation, you are the filing system. The answer to almost any question is in a text thread, a spreadsheet, a PDF in Dropbox, or the head of whoever did the job.

So you chase people. You call the tech, you text the office, you wait. Not because the information does not exist, but because it is scattered across everything you run.

How it works

How does a business memory work? We claw the answers out of your scattered data. Then you just talk to it.

1

We pull it out

We connect to the systems you already run and get the data out, including the old software nobody can export from. Where a system will not give it up, we find another way.

  • Legacy job and accounting software
  • Spreadsheets, paperwork, texts, and emails
  • Signed documents and photos
2

It becomes one memory

Every asset, every customer, every job gets one record, with its history attached. New work flows in as it happens, so the memory stays current without anyone re-typing anything.

  • One record per asset, customer, and job
  • Kept current from the shop floor
  • Runs where you choose, including in your own building
3

You ask, it answers

Ask out loud or by text, from the truck or the desk, the way you would ask a person. It answers in seconds with the record behind it, so you can check it.

  • Voice or text, phone or desk
  • Answers with the source shown
  • Access controls for staff
What it answers

What questions can it answer? The ones you chase people for today.

Jobs

  • What jobs are still open from last week?
  • Who did the last job at that address?
  • Did that get done?
  • What did that job cost us?

Paperwork

  • Where is the paperwork for that job?
  • What expires this month?
  • Is that contract signed?
  • Where is the certificate for that unit?

Money and customers

  • What did we quote them last time?
  • Who owes us the most right now?
  • When did we last do work for them?
  • Which customers have gone quiet?
What it sits on

Does it replace what you already run? No. It is a layer on top. Not a rip and replace.

Your job software, your accounting package, your document signing, your shared drive: they all stay. We read from them and write back where it helps. Nobody has to learn a new system on day one.

When a system is holding you back, you decide whether to replace it, with the data already in hand.

Who it's for

Who is it for? Owner-operators who are tired of being the filing system.

A good fit

  • You own and run the business, with a crew of five to fifty.
  • You service, rent, lease, or maintain physical things: equipment, vehicles, trailers, properties, tools.
  • Your records live in three or more places and one of them is a person.
  • You want it handled, not another piece of software to administer.

Not a fit yet

  • You want software to install and run yourself.
  • Your data already lives in one modern system that answers your questions.
  • You are looking for a phone-answering service. This is memory, not reception.
How we work

How does the engagement work? A managed service. We dig out your records, we build one memory, we run it. You just talk to it.

First 90 days: the dig

Foundation

The dig comes first: we map every system you run and get the records out, including the software that will not give them up. Then the build: we fix where data goes missing on the way in and take one real asset end to end. You test it yourself before anything else gets built.

Then

Managed, monthly

We keep the memory current, add the questions you need next, and stay on call. Fixed pilot fee, then a flat monthly fee. Numbers on the call, not on a pricing page.

Always

Your data, your building

It can run on a machine in your office. Nothing leaves unless you decide it should. Hosting elsewhere is your call, presented as a trade-off, never a default.

Built first for a reefer trailer leasing and service company in Ontario. Fourteen years of work orders, parts, invoices, and rentals clawed out of a legacy system that had no export, and put in front of the owner as one memory he can ask.

First customer, engagement ongoing. References on request.

Still chasing people for answers?

Twenty minutes. Bring the three questions you asked someone this week. We will tell you honestly whether your data can be clawed out, and what it would take.
